Viewing tasks

Learn how to navigate the Tasks page to track progress, and view detailed information for your tasks and those assigned to others.

A task is something you need to do in Joy such as view a FlexDoc or file. You can view tasks and their details from the Tasks page.

Tasks page

The Tasks page provides a clear view of all your tasks in a centralized location. It can be accessed at any time by clicking Tasks in the main menu.

Tasks are organized into sections based on stage (e.g., Not Started, In Progress), with the total number of tasks displayed beside each stage name. This layout, often referred to as a kanban view, allows you to quickly see all tasks, their due dates, and their current stage. Based on this information, you can prioritize your time and identify any critical items that are overdue.

The sections on the Tasks page are collapsible, so you can hide or show a section with a single click. This makes it easy to stay focused and find what you need quickly. To collapse a section, hover over the top of the section and click the <.

You can search for tasks by name by typing in the Search bar.

The Tasks page has three tabs.

My Tasks: This tab shows the tasks assigned to you. It is the first thing you’ll see when viewing the Tasks page.

Assigned by me: This tab shows the tasks that you’ve assigned to others, who they are assigned to, and their current stage. It is useful for ensuring that your users are on track with their learning.

All tasks: This tab shows all the tasks that you have permission to see, including those assigned to you. It offers a comprehensive view of all the tasks you may need to track.

Task cards

On the Tasks page, each task appears as a card. At the top of the card, you can see the name of the asset that you need to complete. For example, on the task card shown below, the user needs to read a FlexDoc titled Client Profile: Prime Construction.

The card also shows the due date (if the task has not yet been completed) or the completion date (if it has been completed).

On the Assigned by me and All tasks tabs, each card shows the name and photo of the person the task is assigned to, making it easy to scan for everything assigned to a particular user.

Click the More Actions icon. More Actions icon on a task’s card to view the task’s details or its associated asset. Depending on your access level, you may also see options to edit the task’s details or manually close it.

Viewing a task

To view a task that’s assigned to you, go to the Tasks page. By default, the page opens to the My tasks tab so you can quickly see what you need to do.

Click a task’s card to view the task along with details, such as who assigned the task, when it was started, and more.


Viewing a task’s details

To view more details about a task that’s assigned to you, click the More Actions icon and then About.

If you’re viewing tasks assigned to other users, you can simply click on a task’s card to view its details.

When viewing a task assigned to you or another user, a new window will appear. This window features two tabs: Overview and Details.

Overview tab

The Overview tab displays the name of the asset associated with the task (what you or the user needs to do) and its due date.

If the task is assigned to you, click the button to view the asset and work towards completing it.

Details tab

The Details tab contains more information about the task. It is organized into three sections.

Basic Info

Due Date: The date and time that the task must be completed by.

Warning Date: The date and time that the task enters the Warning stage. The Warning stage lets the user assigned the task know when the deadline is approaching so they can complete it before it’s overdue.

Started: The date and time that the user assigned the task first opened it.

Completed: The date and time that the user assigned the task finished it.

Expected Duration (Minutes): An estimate of how long the task will take to do (entered by the user who created the task).

Actual Duration (Minutes): The amount of time it took the user assigned the task to complete it.

Assigned by: The user who created the task and the date and time that they created it.

Edited by: The user who last updated the task and the date and time of the update.

Assigned Asset

Name: The name of the asset associated with the task.

Progress Stage: The current stage of the task. This stage represents the user’s current progress.

Grade: The score earned by the user assigned the task.

Advanced

Task ID: The ID you can use to reference the task if you’re using the Joy API.

User ID: The ID you can use to reference the user assigned the task if you’re using the Joy API.

Object ID: The ID you can use to reference the asset associated with the task if you’re using the Joy API.


Completing a task

When viewing a file or FlexDoc that’s assigned to you as a task, you'll see a Mark as Complete button at the top of the asset. Click this button to acknowledge that you have viewed the file or read the FlexDoc.

The task will automatically move to the Completed column on your My Tasks page, and the status will change to Closed. When a task is closed, it means that no further action is needed.
